Quick answer: Send approved WhatsApp utility templates on a fixed schedule (a few days before the due date, on it, then 3, 7 and 15 days after), each with the invoice PDF and a UPI or gateway payment link that carries the invoice number. When the payment webhook arrives, your system marks the invoice paid and the reminders stop on their own.

A lot of late payment is friction, not refusal. The invoice is buried in an email thread, the customer has to type your UPI ID by hand, and nobody chases it until the month-end phone call that everyone finds awkward. Automating the chase removes the friction and the awkwardness together, as long as the system knows the moment money arrives.

This guide walks through the full loop for Indian businesses: schedule, templates, payment links, reconciliation, AI replies, accounting sync and etiquette. For the wider quote-to-cash picture, see our guide to invoicing and payments automation.

Why do invoices get paid late, and what does a reminder schedule fix?

Most delays come from forgetting, inconvenience or nobody owning the follow-up. Ad-hoc calls depend on someone remembering, and they tend to happen only when cash is already tight. A fixed schedule makes every customer hear from you at the same points, politely and with a one-tap way to pay.

A schedule that suits most B2B and service invoices:

WhenMessageAttachments
3 days before dueFriendly heads-up with amount and due dateInvoice PDF, pay link
On the due date"Due today" reminderPay link
3 days overduePolite nudge, offer help if there's a problemPay link
7 days overdueFirmer reminder, name the outstanding amountInvoice PDF, pay link
15 days overdueFinal automated reminder; a person follows up nextPay link, account manager's number

After the last step, the system creates a task for a named person instead of sending more messages. Machines are good at polite consistency; awkward conversations belong to people.

Which WhatsApp message templates can you use for reminders?

Business-initiated messages need pre-approved templates, and a factual payment reminder fits the utility category. Meta classifies templates as marketing, utility or authentication. Utility templates relate to something the customer already has with you, such as an order, booking or invoice, and must not promote anything. Meta reviews the category and can reclassify a template it considers promotional, which changes what you pay. Since July 2025 Meta has charged per delivered template message, with the rate depending on category and the recipient's country.

Keep reminder templates strictly factual:

Hi {{1}}, this is a reminder that invoice {{2}} for ₹{{3}} is due on {{4}}. You can pay securely here: {{5}}. Reply to this message if you have any questions.

No discounts, no "check out our new services", no urgency tricks. Get each template, and each language version, approved before launch. Our guide to WhatsApp Business API automation covers account setup and providers.

Generate a link per invoice, with the invoice number as its reference, and matching becomes automatic. A static UPI ID printed on every invoice is the root of most reconciliation pain: customers pay round numbers, combine invoices or leave the note blank.

MethodHow it identifies the invoiceBest for
Gateway payment link per invoiceLink is created for one invoice and amount; reference stored by the gatewayMost businesses; supports UPI, cards and net banking
Dynamic UPI QR or intent link per invoiceAmount and transaction note pre-filledLow-cost UPI-only collection
Virtual account or customer-specific UPI IDEvery payment to it belongs to one customerRepeat B2B customers paying by bank transfer
Static UPI IDRelies on the customer typing a noteAvoid for anything you want automated

Set links to expire sensibly, and let a new reminder carry a fresh link if the old one has lapsed.

How do you mark invoices paid automatically?

Listen for the gateway's webhook and stop the schedule the moment it arrives. The flow:

  1. The customer pays through the link.
  2. The gateway sends a webhook to your system with the payment and its reference.
  3. Your system verifies the webhook signature, so nobody can fake a "paid" message.
  4. It finds the invoice by reference and records the payment, ignoring duplicate deliveries of the same event.
  5. It cancels the remaining reminders and sends a receipt on WhatsApp.
  6. A daily job compares settlements from the gateway with the invoices marked paid, catching anything a webhook missed.

For customers who pay by NEFT or RTGS instead, match bank statement lines by amount, customer and reference, and send uncertain matches to a person. Allow for partial payments, too: business customers who deduct TDS will pay less than the invoice total, so record the deduction rather than leaving the invoice open forever.

Where does AI help with tone, replies and promises to pay?

In reading replies, not in changing amounts. Customers answer reminders with all sorts of messages, and AI can sort them quickly:

  • "Already paid": ask for the UTR or a screenshot, check it against the bank feed and pause reminders while a person confirms.
  • "Will pay next Friday": capture the promised date, pause until then and send one reminder on the day.
  • Disputes and complaints: stop automation and route to the account owner with the conversation attached.
  • Wrong person or number: flag the contact for correction.

AI can also draft the reply in the customer's own language; our guide to a multilingual AI chatbot explains how. Keep firm rules around it: AI never waives fees, agrees discounts or changes due dates on its own.

How do you connect Tally, Zoho Books or your billing system?

Pick one system as the source of truth for invoices and sync payment status back to it. If invoices are raised in Zoho Books, read them through its API and write receipts back when payments land. If you run Tally, a connector can pull outstanding invoices and post receipt vouchers; our guide to Tally integration explains the options and their limits.

The reminder system should never become a second ledger. It reads what is due, chases it and reports what was paid. Once reminders are running, the same pattern extends to other repetitive admin; our guide to workflow automation covers the signs it's time to take that step.

Message only people who gave you their number for billing, and behave like a good accounts team would.

  • [ ] Collect WhatsApp opt-in when the customer signs up or places the order, as WhatsApp's business policies require
  • [ ] Use the number only for billing and service unless the customer separately agrees to marketing
  • [ ] Make it easy to opt out of non-essential messages, and honour it
  • [ ] Send during business hours, never late at night
  • [ ] Keep wording polite and factual; no threats, shaming or public pressure
  • [ ] Check the number before sending invoice details, so they don't reach the wrong person
  • [ ] Log every reminder and reply, in line with your DPDP Act obligations as the business holding the data

Frequently asked questions

Can I send automatic payment reminders on WhatsApp?

Yes, through the WhatsApp Business Platform using approved message templates. Your billing system or a custom integration triggers each template on schedule, and stops when the invoice is paid. The free WhatsApp Business app isn't designed for automated bulk sending.

Yes, if the link comes from your payment gateway or a verified business UPI ID and shows your registered business name. Tell customers to check the payee name before paying, and remind them that nobody needs their UPI PIN to send them money.

How do I know which invoice a UPI payment is for?

Create a separate payment link or dynamic QR for each invoice, with the invoice number as the reference. The gateway returns that reference with the payment, so your system can match it without anyone checking bank statements by hand.

Are payment reminders counted as marketing messages on WhatsApp?

Not if they're factual reminders about an existing invoice; those fit the utility category. Adding offers, promotions or upsells can lead Meta to classify the template as marketing, which is charged at a different rate and may need different consent.

Can WhatsApp reminders sync with Tally?

Yes, through a connector that reads outstanding invoices from Tally and posts receipts back when payments arrive. Because Tally usually runs on a local machine or hosted server, the connector should queue updates and retry when Tally is unavailable.
