Accounting Software Integrations: Xero, QuickBooks and Tally

Xero, QuickBooks and Tally integrations compared for Indian and Australian businesses: how each connects, what to sync, tax mapping pitfalls and costs.

Xero and QuickBooks Online are cloud accounting platforms with modern APIs, so connecting them to a CRM, invoicing tool or payment gateway is usually straightforward. Tally (TallyPrime) is desktop software popular in India, and integrating it typically needs a connector running alongside the Tally installation. In Australia, Xero is the common choice; in India, Tally dominates, with Zoho Books a frequent cloud alternative.

The software you choose matters less than one decision: which records the accounting system owns, and which it simply receives. Get that right and any of the three can sit cleanly at the end of your quote-to-cash flow.

How do Xero, QuickBooks and Tally compare for integration?

Xero and QuickBooks Online are built to be connected; Tally can be connected, but with more effort and different architecture. The table summarises the practical differences.

A note on QuickBooks in India: Intuit has withdrawn QuickBooks Online from the Indian market, so it's mainly relevant to Indian businesses that run an overseas entity on it. Confirm current availability with Intuit before planning around it. In Australia, QuickBooks Online is a genuine alternative to Xero.

TDL (Tally Definition Language) is Tally's own customisation language. It's powerful for extending Tally itself, but it's a niche skill, so check that your developer has used it before.

What should flow into your accounting software?

Send finished financial events in, not work in progress. Accounting software should receive invoices, payments and expenses, not every lead and draft quote.

Decide where invoices are created and stick to it. Either the ops system creates them and pushes them to accounting, or the accounting software creates them and the ops system reads them. Creating invoices in both places guarantees duplicates and numbering gaps.

Our guide to invoicing and payments automation for service businesses covers the earlier steps in this chain, from accepted quote to paid invoice. If supplier bills arrive as PDFs, see AI document processing for invoices, forms and contracts for capturing them before they reach the ledger.

How does a Xero or QuickBooks integration work?

You authorise your app once through the accounting platform's sign-in screen, and it then reads and writes records through the API. No passwords are shared; access can be revoked from the accounting side at any time.

A typical Australian service-business setup:

  1. A deal is won in the CRM, creating or matching a contact in Xero.
  2. The ops system raises an invoice and sends it to Xero as approved, with the correct tax codes and account codes.
  3. The client pays through a payment link; the payment is recorded against the invoice.
  4. Xero's bank feed and reconciliation confirm the money landed.
  5. The "paid" status flows back so the CRM and client portal show it.

Watch for API usage limits, which cap how many requests your integration can make in a period. Bulk syncs need to be paced. Our explainer on what an API is covers limits, keys and webhooks in plain English.

How does a Tally integration work?

TallyPrime can accept and answer XML requests over HTTP when it's configured to act as a server, so your other systems talk to the Tally instance directly or through a connector. The catch is that Tally must be running and reachable.

Common patterns for Indian businesses:

  • Local connector: a small service on the same network as Tally picks up invoices and receipts from your cloud system and posts them into Tally on a schedule.
  • Hosted Tally: Tally runs on a cloud server, so integrations can reach it without depending on an office PC being switched on.
  • Export and import: your system produces files in a format Tally can import, and someone loads them daily. Low-tech, but workable at modest volume.

Plan for the office machine being off. Queue transactions on the cloud side and post them when Tally becomes reachable, with an alert if the queue backs up.

Where do accounting integrations usually go wrong?

Tax mapping, ledger matching and duplicates cause most problems. These are accounting decisions, so involve your accountant in the mapping.

  • Tax codes. Every line item needs the right tax treatment. In India that means the correct GST rate and HSN or SAC code, plus the right split between CGST and SGST or IGST based on place of supply. In Australia it means the right GST code, such as taxable versus GST-free. Get this wrong and BAS or GST returns need correcting.
  • Ledger and contact matching. "ABC Pvt Ltd" in the CRM and "A.B.C. Private Limited" in Tally become two ledgers unless you match on GSTIN, ABN or a stored ID.
  • Duplicate invoices. Retries after a timeout can post the same invoice twice. Integrations should check for an existing record before creating one.
  • Gateway fees and payouts. Payment gateways deduct fees and pay out in batches, so the amount landing in the bank rarely matches a single invoice. Record fees separately.
  • Locked periods. Once a period is closed, the integration must not post into it. Handle that error rather than retrying endlessly.
  • Messy history. Migrating years of old transactions is a different job from syncing new ones. Our guide to data migration without losing customer data covers that work.

What does an accounting integration cost?

A single, well-scoped integration sits within the simple automation range; Tally usually costs more than Xero or QuickBooks because of the connector and testing involved. Typical market estimates:

ScopeIndia (₹)Australia (AUD)
CRM or ops system → Xero / QuickBooks, invoices and paymentsLower end of ₹1.5–5 lakhLower end of $10k–30k
Cloud system → Tally via connector, with queueing and alertsMid to upper end of ₹1.5–5 lakhRarely needed in Australia
Multi-entity, two-way sync, custom tax rulesToward MVP range, ₹4–12 lakhToward $25k–80k

These are estimates that vary with scope. Add 15–25% of the build cost per year for maintenance, since accounting platforms update their APIs and tax rules change. Before buying a custom integration, check the marketplace: if a ready-made connector does the job, use it.

Which should you choose if you're starting fresh?

Follow your accountant and your market first, integration ease second. An accounting package your accountant doesn't support creates more cost than any integration saves.

  • Australian business, cloud-first: Xero or QuickBooks Online. Both integrate easily, and Xero is very widely used by Australian small businesses and their accountants.
  • Indian business with an accountant on Tally: stay on Tally and budget for a proper connector, or discuss a cloud alternative such as Zoho Books if real-time integration matters a lot.
  • Business in both markets: run each entity on the software its local accountant supports, and let your ops system or CRM sit above both.

Frequently asked questions

Can Tally sync with a cloud CRM in real time?

Near real time is possible when Tally runs on an always-on server or hosted environment and a connector posts transactions as they happen. With Tally on an office PC, most businesses settle for scheduled syncs with a queue for when the machine is off.

Is Xero better than QuickBooks for integrations?

Both have mature APIs, webhooks and large app marketplaces, so integration ease is similar. In Australia, the deciding factors are usually your accountant's preference and the apps you already use.

Should invoices be created in the CRM or in the accounting software?

Pick one. If your invoices depend on job or project data, creating them in the ops system and pushing them to accounting usually works best. If invoicing is simple, create them in accounting and let the CRM read the status.

Do we need our accountant involved in the integration?

Yes, for the mapping. Your accountant should approve tax codes, account codes and how gateway fees are recorded. A developer can build the connection, but the accounting treatment is a professional decision.

What about Zoho Books?

Zoho Books is a cloud accounting option widely used in India, with GST support and an API. It's worth considering if you want cloud-based, real-time integration and your accountant is comfortable with it.
