Immigration and study-abroad consultants need a website that proves credibility, a lead system that sorts serious applicants from casual browsers, and fast follow-up on WhatsApp. Cheap enquiries are easy to buy; the work is in qualifying them by destination, course, test score and budget, then routing each one to the right counsellor quickly.
We have built websites for immigration consultancies and run their ads. One immigration and study-abroad account we manage produced 572 lead-form leads and 525 messaging conversations on about US$676 of Meta ad spend (Meta's default attribution: 7-day click, 1-day view). Volume like that is a gift and a problem: a counselling team can drown in it without a system.
Why do consultancy websites need to work harder on trust?
Applicants are making an expensive, life-changing decision, and the sector has a reputation problem with overpromising agents. Your site has to answer "can I trust these people?" before it answers anything else.
Trust signals that matter here:
- Registration and licensing details. Immigration advice is a regulated activity in several countries. Australia, Canada and the UK each have their own registration schemes for migration advisers. If your counsellors are registered, show the registration details clearly.
- Named counsellors with photos, qualifications and the destinations they handle.
- A physical office address and map, plus office hours.
- University and institution partnerships, stated accurately. Only list partnerships you can document.
- Honest outcome language. Never promise a visa approval or admission. Explain the process and what affects outcomes instead.
- Clear fees, or at least a clear explanation of what is free (an initial assessment) and what is charged.
A consultancy that avoids "guaranteed visa" claims looks more credible, not less. It also keeps you on the right side of regulators and ad platforms.
What pages should an immigration or study-abroad site include?
Organise the site around the applicant's question, which is usually "can I go to country X for purpose Y?" That means destination pages and pathway pages, not one long services list.
| Page type | Example | What it must contain |
|---|---|---|
| Destination hub | Study in Canada | Intakes, typical eligibility, cost of living overview, process steps, counsellor contact |
| Pathway page | Skilled migration to Australia | Who it suits, documents, stages, realistic timelines, what you help with |
| Course or field page | Nursing courses abroad | Countries offering the route, entry requirements, career notes |
| Eligibility check | Free profile assessment | Short form with qualifying questions |
| Test preparation | IELTS or PTE coaching | Batch timings, format, fee, enrolment form |
| Proof page | Student journeys | Anonymised or consented stories, never invented ones |
| Office pages | One per branch | Address, map, hours, local phone and WhatsApp |
Keep visa rules in one place you can update. Immigration rules change often, and a stale fee or requirement on ten pages is a liability. Date-stamp policy content ("last reviewed") so visitors and search engines can see it is maintained.
Which lead sources bring the cheapest enquiries?
In the account mentioned above, click-to-message ads produced the cheapest conversations, while lead forms produced the cheapest qualified-looking leads. Here are the real figures from that one account, which you should treat as a single example rather than a benchmark.
| Campaign element | Result | Cost |
|---|---|---|
| Whole account, lifetime | 572 leads + 525 conversations | About $676 total spend |
| Best lead-form ad | 245 leads | $0.34 per lead |
| Best messages ad | 340 conversations | $0.11 per conversation |
Dividing spend by combined enquiries works out to roughly $0.62 per enquiry. Those are unusually low costs, helped by the market and audience targeted; your numbers will differ by country, offer and season.
The same pattern shows up across nine featured accounts we run in other industries: messaging campaigns were usually the cheapest per enquiry, and lead forms gave more leads to qualify. Our comparison of Meta lead-form ads versus messaging ads covers when to use each.
How do you qualify hundreds of enquiries a week?
Ask three to five qualifying questions at the point of capture, score the answers automatically, and send only the strongest leads to senior counsellors. Everyone else goes into a lighter follow-up track.
Useful qualifying questions for study-abroad:
- Preferred destination (one or two countries)
- Intended intake (month and year)
- Highest completed qualification
- English test status (not taken, booked, score)
- Approximate budget or funding source
For migration enquiries, swap in visa type of interest, occupation, years of experience and current country.
A simple scoring rule might look like this: an applicant with a test score, a near intake and a stated budget goes straight to a counsellor call the same day; someone two years out with no test booked gets an automated welcome on WhatsApp, a destination guide and a reminder about test-prep batches. Neither is ignored, but your best people spend time where it counts.
Keep forms to five questions or fewer. Each extra field lowers completion. Lead forms in Meta can use multiple-choice answers, which are faster to tap and easier to score than free text.
How should the lead system be wired together?
Every enquiry, from website form, Meta lead form, WhatsApp or walk-in, should land in one CRM with its source and answers attached. Downloading CSV files once a day is how leads go cold.
The setup we recommend:
- Meta lead forms sync automatically into the CRM, not by manual download. Our guide to delivering Meta lead ads to your CRM in real time walks through the options.
- Website forms post directly to the same CRM, tagged with the page they came from (destination, pathway, course).
- WhatsApp conversations are logged against the contact. The WhatsApp Business Platform lets you send approved template messages, which suits reminders about document deadlines and intake dates.
- Round-robin or rule-based assignment sends each lead to a counsellor by destination or language.
- Follow-up tasks are created automatically, with an alert when a new lead is untouched after a set time.
- Status stages reflect your real process: new, contacted, assessed, documents pending, applied, offer received, visa lodged, enrolled or closed.
This is the same pattern we built into our own Ops Console, where a lead centre pulls in website form and Meta lead-ad enquiries automatically. For consultancies with a heavy WhatsApp workload, automating lead follow-up with AI can draft first replies and collect missing details, with a counsellor reviewing anything that touches eligibility advice.
What does it cost to set this up?
A credible consultancy website is a modest project; the CRM and automation layer is where budgets vary most. Ranges below are typical estimates and depend on scope.
| Component | Typical cost | Notes |
|---|---|---|
| Consultancy website with destination and pathway pages | Focused builds from under US$1k; most projects US$2k–10k | Marketing site typically 1–2 weeks |
| Subscription CRM plus integrations | Monthly fees plus a one-off setup | Good starting point for most firms |
| Custom CRM for counselling workflows | US$20k–90k (₹4–20 lakh in India) | Worth it with several branches or complex stages |
| FAQ or rules chatbot | US$3k–10k (₹50k–2 lakh) | Answers intake dates, fees, office hours |
| AI assistant trained on your own documents | US$10k–40k (₹2–8 lakh) | Needs careful limits on giving visa advice |
Maintenance typically adds 15–25% of the build cost each year for custom software.
Frequently asked questions
Do immigration consultants need a website if they get leads from ads?
Yes. Applicants check your website before they pay a fee, and a thin site makes even cheap ad leads harder to convert. It is also where search traffic and referrals land.
Are lead forms or WhatsApp ads better for study-abroad enquiries?
In the account we described, messaging ads were cheaper per conversation, while lead forms produced leads with qualifying answers attached. Many consultancies run both: messaging for volume and lead forms for structured pre-qualification.
How quickly should a counsellor call a new lead?
As soon as the team can manage reliably, ideally the same working day for qualified leads. Automatic alerts and assignment rules matter more than adding staff.
Can a chatbot give visa advice?
It should not give personalised immigration advice, which is regulated in several countries. Use it for factual, stable information such as office hours, intake dates and document checklists, and hand eligibility questions to a registered professional.
What personal data should the website collect?
Collect only what you need to qualify and contact the applicant. Avoid asking for passport numbers or scans on an open web form; request documents later through a secure process.
Want a lead system that keeps up with your ads?
If your counsellors are sorting enquiries in spreadsheets or losing WhatsApp chats, start with the capture and routing layer before spending more on ads. Our services cover the website, ads and CRM setup, and you can book a call for a fixed-price plan. For broader context on agency software, see our real estate lead capture and CRM playbook, which uses the same principles.
