- Weighing up life after Tally?
Quick answer: Tally rarely fails at accounting. Businesses outgrow it in sales, multi-godown stock, approvals and live reporting. Before replacing it, consider keeping Tally as the books and adding a custom operations app that syncs with it. Move to ERPNext, Odoo or Zoho when their standard modules fit how you work, and build a custom ERP only when nothing does.
Most "Tally vs ERP" articles are written by companies that sell or implement an ERP, so the conclusion is settled before the first paragraph. We build custom software, which is a bias of its own, and we'll flag it where it matters. The aim here is a fair comparison of the three realistic paths for an Indian SME that has run on Tally for years and is starting to feel the strain.
If you're unsure what an ERP even covers, our guide on whether a small business needs an ERP is a useful primer.
What is Tally good at, and where does it stop?
Tally is excellent at books and compliance; it stops being enough when the work happening outside the accounts department grows.
Where TallyPrime is strong:
- Double-entry accounting your CA already knows
- GST returns, e-invoicing and e-way bills
- Statutory reports, TDS and payroll
- Inventory across godowns, with batches and basic bills of materials
- Speed: experienced operators enter vouchers remarkably fast
Where the strain usually appears:
- Sales and CRM. Leads, quotes, follow-ups and order pipelines live in Excel or WhatsApp.
- Field and branch teams. Sales reps, warehouse staff and branch managers need mobile, role-based access, not a Tally screen.
- Approvals. Purchase approvals, credit limits and discount sign-offs happen by phone call.
- Live reporting. Owners want dashboards on their phone, not a report someone exports on Monday.
- Complex operations. Production planning, job work, service tickets and project costing outgrow Tally's simpler modules.
What are the signs your business has outgrown Tally?
When the same information is typed twice, or decisions wait for someone to run a report. Tick the ones that apply:
- [ ] Orders are taken in Excel or WhatsApp and re-entered into Tally
- [ ] Stock figures differ between godowns, the warehouse and Tally
- [ ] Nobody can see sales, receivables or stock today without asking accounts
- [ ] Consolidating several companies or branches is done by hand each month
- [ ] Staff outside the office need access and are sharing one login or calling in
- [ ] Approvals and credit checks happen informally, with no record
- [ ] Month-end closing takes longer every quarter as volume grows
- [ ] The business depends on one or two people who know where everything is
One or two ticks usually means a targeted fix. Five or more means the business has a systems problem, not a Tally problem.
Option 1: should you keep Tally and add a custom operations layer?
Often, yes, and it's the option ERP vendors rarely mention. Tally stays as the accounting book your CA works in. A lightweight operations app handles what Tally doesn't: orders, approvals, dispatch, field sales, dashboards. The two stay in sync automatically.
How the sync works: TallyPrime can exchange data through XML requests over HTTP and ODBC, so a connector can push sales vouchers and receipts into Tally and pull ledgers, stock items and balances back. Our guide to Tally integration options explains the patterns, including queuing transactions for when the office machine is off.
| Pros | Cons |
|---|---|
| No change for the accounts team or your CA | Two systems to maintain |
| Statutory compliance stays where it already works | Sync needs monitoring and good error handling |
| Build only the modules you need, one at a time | Tally must be running and reachable for live sync |
| Lower cost than a full ERP implementation | Not ideal if accounting itself needs to change |
In our published pricing, a cloud-to-Tally connector with queueing and alerts sits around the mid to upper end of ₹1.5–5 lakh. A focused operations app is MVP-sized, typically ₹4–12 lakh, depending on modules and users.
Option 2: should you move to ERPNext, Odoo or Zoho?
Yes, when your processes look like the standard modules and you're willing to adapt to the software. All three handle Indian GST and cover accounting alongside sales, purchasing and inventory, but they suit different businesses:
| ERPNext | Odoo | Zoho (Books, Inventory and wider suite) | |
|---|---|---|---|
| Model | Open source, self-hosted or hosted | Open-source community edition plus paid enterprise edition | Cloud subscription |
| Strength | Manufacturing, distribution, flexible customisation | Broad module catalogue, large partner network | Easy start, polished apps, strong for services and trading |
| Watch for | Needs a capable partner or in-house admin | Some modules only in the paid edition | Complex manufacturing and deep customisation are harder |
Whatever you choose, budget for more than licences: an implementation partner, process mapping, data migration, training and a period of lower productivity while staff adjust. The biggest cost is usually changing how people work, not the software.
Option 3: when does a custom ERP make sense?
When your core workflow is a genuine differentiator, or when you've tried the packaged options and none fits. Examples include unusual pricing or production processes, tightly integrated customer and vendor portals, or operations that combine trading, services and manufacturing in a way standard modules fight against.
Even then, don't build everything at once. Start with the module that hurts most, often order management or inventory, keep Tally for accounting through Option 1, and add modules as each one proves itself. A full mid-size platform typically lands in our ₹12–35 lakh range, but you rarely need it all in year one. Our guide on when custom software pays for itself helps test whether the investment stacks up. If you do commission one, insist on a proper handover; our software handover checklist lists what to collect.
How do you migrate ledgers, stock and GST history safely?
Cut over at a financial-year boundary where you can, reconcile everything twice, and run both systems in parallel for one closing cycle.
- Choose the date. 1 April is ideal, because opening balances are clean and the previous year closes in Tally.
- Clean masters first. Merge duplicate ledgers, standardise stock items and units, and confirm GSTINs and HSN or SAC codes.
- Migrate opening balances, not every historical voucher: trial balance, debtors and creditors with open invoices, and stock by godown with quantity and value.
- Reconcile GST positions. Carry over input tax credit balances and any pending liabilities, and check them against the GST portal.
- Run in parallel for one month-end close and compare reports line by line.
- Confirm compliance features such as e-invoicing work in the new system before switching off the old process.
Our guide to migrating data without losing records covers mapping and validation in more detail. Don't delete Tally afterwards. Under section 36 of the CGST Act, accounts must generally be kept for 72 months from the due date of the annual return for the year they relate to, so keep the old data archived and readable.
How do you make the decision on one page?
Match your situation to the path, then test the choice with a small pilot.
| If this describes you | Lean towards |
|---|---|
| Accounts work fine; pain is in sales, stock visibility or approvals | Keep Tally, add a custom operations layer |
| Processes are fairly standard and you're ready to change how people work | ERPNext, Odoo or Zoho with a good partner |
| Mostly services or trading, want cloud and quick setup | Zoho |
| Manufacturing or distribution with in-house technical help | ERPNext or Odoo |
| Core workflow is unique and no product fits after a genuine trial | Custom ERP, one module at a time |
| Unsure | Map your processes first, then decide |
Whichever path you take, write down the three problems you're solving and measure them before and after. That stops the project growing into a replacement of everything.
Frequently asked questions
Can Tally be used as an ERP?
For many small traders and distributors, TallyPrime works as a light ERP, covering accounting, inventory, GST and payroll. It lacks CRM, workflow approvals, field-team apps and flexible dashboards, which is where growing businesses feel the gap.
Can custom software sync with TallyPrime automatically?
Yes. TallyPrime can exchange data through XML over HTTP and ODBC, so a connector can post vouchers into Tally and read ledgers and stock back. Because Tally usually runs on a local or hosted machine, the sync should queue changes and retry when Tally is unreachable.
Is ERPNext or Odoo better for Indian SMEs?
Neither is better across the board. ERPNext suits businesses wanting an open-source system with strong manufacturing and distribution features, and the technical help to run it. Odoo offers a broad module catalogue and a large partner network, with some features in its paid edition. Run a pilot with your real processes before deciding.
When is the best time to move away from Tally?
At the start of a financial year, ideally 1 April, so the old year closes cleanly in Tally and the new system starts with verified opening balances. Begin preparation a few months earlier to clean data and train staff.
Will we lose our GST history if we leave Tally?
Not if you keep the old data. Your filed returns stay on the GST portal, and you should keep Tally data archived and readable for at least the period GST law requires books to be kept. Migrate opening balances and open items to the new system rather than every past voucher.
