Quick answer: Xero can already apply bank rules, suggest matches and, on accounts where you switch it on, let its JAX assistant reconcile lines it is highly confident about. Supplier bills can flow in from an email inbox without retyping. A person still owns the exceptions, and anyone who prepares your BAS for a fee must be a registered BAS or tax agent.
Ask a Xero user what eats their week and the answer is rarely the BAS itself. It's the hundred small calls before it: which account a fuel receipt belongs in, whether one deposit covers three invoices, why a supplier's total is 40 cents off the bank line. That is the work AI is starting to take over, and it pays to be precise about which parts are dependable today.
This guide splits the job into three layers: what Xero does on its own, where custom automation earns its keep, and what stays with you and your registered agent.
What can Xero's built-in AI already automate?
Most of the routine matching, provided your coding history is clean. Xero has offered bank rules and suggested matches for years. JAX, Xero's AI assistant, adds automatic reconciliation for transactions it is highly confident about. Per Xero, automatic bank reconciliation with JAX began rolling out as a beta in late 2025, is switched on per bank account, and labels each automated decision so you can see whether a rule, an existing invoice or bill, your own past coding or a wider prediction drove it. Availability depends on your plan and region, so check Xero's pricing page for yours.
| Task | Built-in tool | How far to trust it |
|---|---|---|
| Recurring, identical transactions (rent, software subscriptions) | Bank rules | High, once the rule is tested |
| Payments that match an open invoice or bill | Suggested matches | High when amounts and references line up |
| Lines similar to how you've coded them before | Predictions and JAX | Good for routine spend; review new patterns |
| Questions about your figures ("who owes us over 60 days?") | JAX chat | Handy for quick answers; verify before acting |
| Anything new, split or unusual | Nothing reliably | Leave it for a person |
Two habits matter more than any feature. Enable automation one account at a time, starting with the one carrying the most repetitive traffic. Then review the automatic reconciliations for the first few weeks; if JAX is leaning on predictions for a supplier you rarely use, write a proper bank rule instead.
How do you automate bills and receipts from email?
Give bills one front door and let a capture tool read them. Most manual entry in a small business is supplier invoices arriving as PDFs in someone's inbox. The fix is mostly plumbing:
- Pick the capture tool. Xero has its own document capture, and third-party apps such as Dext do the same job with more controls. Xero has been changing how its capture tools are packaged, so confirm what your plan includes before paying for a second tool.
- Create one bills address in the capture tool and give it to suppliers as your accounts email.
- Add forwarding rules in Gmail or Outlook so invoices sent to staff inboxes are forwarded automatically, filtered by sender or by phrases like "tax invoice".
- Set supplier defaults: account code, GST rate and payment terms for each regular supplier, so drafts arrive pre-coded.
- Approve in batches. Drafts wait as bills awaiting approval, with the source PDF attached; someone checks them weekly before the payment run.
When documents are messier (handwritten dockets, multi-page statements, purchase orders that need matching), general-purpose AI document processing for invoices can extract the fields before they reach Xero.
Which reconciliation tasks still need a person?
Anything that needs context the bank line doesn't contain. AI matches patterns in your history; where there is no history, or the pattern misleads, it guesses. Keep these for a person:
- [ ] Unmatched lines with no obvious invoice, bill or rule
- [ ] One deposit paying several invoices, or one invoice paid in parts
- [ ] Payouts from Stripe, Square, Shopify or marketplaces, which land net of fees and refunds
- [ ] Transfers between your own accounts, loan and hire-purchase repayments
- [ ] Owner drawings or personal spend on the business card
- [ ] Any GST code that differs from the supplier's usual coding
- [ ] The first bill from a new supplier
- [ ] Refunds, chargebacks and reversals
Route these into a short weekly queue rather than letting them pile up. A quick message to whoever made the purchase settles most of them in a minute; left until BAS time, the same question can swallow an afternoon.
Where does custom automation add value on top of Xero?
Where the data starts outside Xero. Xero sees the bank line; it doesn't see the job, the order or the entity the money really belongs to. That gap is where a custom integration pays for itself:
- Job costing from field apps. Trades and service businesses log time and materials in a job management app. Pushing those costs to Xero tracking categories by job turns the profit and loss into profit per job.
- Marketplace and gateway payouts. An integration can pull each settlement report and post a clearing journal (gross sales, fees, refunds), so the net payout reconciles to the cent.
- Multi-entity allocations. Groups that pay shared costs from one company can generate intercompany journals on a schedule instead of from a spreadsheet.
Before commissioning anything, check the Xero App Store. Our guide to Xero integrations explains how the API works and where off-the-shelf connectors are enough. For lighter jobs a no-code tool may do; our comparison of Zapier vs Make vs n8n shows where each one stops. When a custom build is justified, a single well-scoped integration usually sits in our simple-tool range of A$10k–30k, plus maintenance of roughly 15–25% of the build cost each year.
How do you keep GST coding and BAS accurate?
Make the right code the default, then let software watch for drift. Automation is only as accurate as the coding it learns from, so tidy the defaults first:
- Set a default GST rate on every regular supplier and on each account in your chart of accounts.
- Separate GST-free purchases from taxable ones at the supplier level, not line by line.
- Keep wages, super and owner transfers out of GST by coding them BAS Excluded.
- Hold a valid tax invoice wherever the ATO requires one before you claim a GST credit.
Then run pre-BAS checks before each lodgement. These suit AI or simple scripts well:
| Check | What it catches |
|---|---|
| Supplier coded with a different GST rate from usual | Mis-keyed tax codes |
| Larger bills with no attached tax invoice | Unsupported GST credits |
| One-off or unusually large transactions in the period | Capital purchases needing different treatment |
| Unreconciled lines dated before the period end | Missing income or expenses |
The checks raise questions; they don't answer them. A person decides what each flag means.
Who is allowed to do BAS work for your business?
You can prepare and lodge your own BAS, and an employee can do it for their employer; anyone else doing it for a fee must be registered. Per the Tax Practitioners Board, BAS services provided for a fee or other reward must come from a registered BAS agent or tax agent under the Tax Agent Services Act 2009. AI doesn't change that. A bookkeeper using JAX or any other AI tool remains the professional responsible for the work, and an automation developer building your integration is not giving BAS advice.
That's the line we draw at GRWW: we build the plumbing that moves and checks data, and your registered agent decides how it's treated and signs off. If staff are pasting financial data into general AI chat tools along the way, write an AI acceptable use policy before you automate anything else.
Where should you start?
With one workflow, measured for a month. Pick the task that costs the most time each week (often bill entry or a payout reconciliation), note how long it takes now, automate it, and measure again after four weeks. If the saving is real, move to the next. Our guide to calculating the ROI of automation shows how to turn saved hours into a dollar figure.
Frequently asked questions
Can AI reconcile my Xero bank accounts automatically?
Partly. With JAX's automatic reconciliation switched on for an account, Xero reconciles transactions it is highly confident about and leaves the rest for review. Repetitive, well-coded transactions automate well; new suppliers, split payments and net payouts still need a person.
What is Xero JAX?
JAX is the AI assistant built into Xero. It answers questions about your financial data in plain language and powers features such as automatic bank reconciliation. Features and plan availability vary by region and are still expanding, so check what your subscription includes.
Is AI bookkeeping accurate enough for BAS?
It's accurate enough to handle routine coding and flag problems, but not to be the final check. Treat AI output as a first draft: clear the exceptions, run pre-BAS checks and have the person responsible for the BAS confirm the figures before lodgement.
Do I still need a bookkeeper if I use AI?
Most businesses still need someone who understands the accounts, just for fewer hours. The role moves from keying transactions to reviewing exceptions and maintaining rules. If they charge you for BAS services, they must be a registered BAS or tax agent.
Which tools connect AI to Xero?
Xero's own JAX and document capture, third-party capture apps such as Dext, no-code platforms like Zapier, Make and n8n, and custom integrations built on Xero's API. Start with what's built in and add other tools only where your data starts outside Xero.
