GST-Ready Business Software: What to Look For in India

A practical checklist for GST-ready business software in India: compliant invoices, e-invoicing, e-way bills, returns data, ITC matching and audit trails.

GST-ready software does more than add 18% to an invoice. It should issue compliant tax invoices with the right GSTIN, HSN or SAC codes and place-of-supply logic, generate e-invoices and e-way bills when your business is required to, export clean data for GSTR-1 and GSTR-3B, help reconcile input tax credit, and keep an audit trail that cannot be switched off.

Use the checklist below whether you are evaluating an off-the-shelf billing tool, an ERP, or a custom system we or another developer would build for you. Tick what the software handles today, and treat every gap as a question for the vendor.

Why does "GST-ready" mean different things to different vendors?

Because many products only handle the tax calculation, not the compliance workflow around it. A tool that adds CGST and SGST to a bill is not the same as one that files cleanly at month end.

The gaps usually appear later: an inter-state sale taxed as intra-state, a missing HSN code that holds up a return, or invoices that never reached the e-invoice portal. Ask vendors to demonstrate each item on this list with your own sample transactions, not slides.

GST rules and thresholds are revised from time to time. Treat this as a feature checklist, confirm the current limits with your chartered accountant, and choose software whose vendor updates promptly when rules change.

Checklist 1: Does it create compliant tax invoices?

Every invoice must carry the mandatory details and calculate tax by place of supply. This is the foundation; if it is shaky, nothing downstream works.

RequirementWhat to checkTick
Supplier and buyer GSTINValidates the 15-character format and ideally checks it against the GST system☐
Sequential invoice numberingUnique, consecutive numbers per financial year, within the permitted length, with separate series if needed☐
HSN / SAC codesStored per product or service, printed on invoices at the level your turnover requires☐
Place-of-supply logicApplies CGST + SGST for intra-state and IGST for inter-state supplies automatically☐
Multiple tax rates on one invoiceHandles mixed-rate line items correctly☐
Reverse chargeFlags supplies where the recipient pays the tax☐
Bill of supplySupports composition-scheme or exempt supplies that cannot carry a tax invoice☐
Credit and debit notesLinked to the original invoice, with correct tax reversal☐

Checklist 2: Does it handle e-invoicing and e-way bills?

If your turnover crosses the e-invoicing threshold, invoices must be registered on the government's Invoice Registration Portal before they are valid. Software should do this without anyone copying data into a portal by hand.

RequirementWhat to checkTick
IRN generationSends invoice data to the IRP and stores the Invoice Reference Number it returns☐
Signed QR codePrints the QR code from the portal on the invoice PDF☐
Cancellation within allowed windowCancels an e-invoice correctly and records why☐
E-way bill generationCreates e-way bills from the invoice for goods movements above the set value, with transporter and vehicle details☐
Error handlingShows portal rejections clearly so staff can fix and resend☐
GSP / API connectionUses a GST Suvidha Provider or approved API route rather than screen scraping☐

The government has lowered the e-invoicing threshold several times, so pick software that supports it even if you are below the limit today. Retrofitting e-invoicing into a system later is far more disruptive than switching it on.

Checklist 3: Will it make returns and reconciliation easy?

Good software turns month-end from a scramble into an export. Your accountant should receive data they can file from, not raw sales lists to rework.

RequirementWhat to checkTick
GSTR-1 ready dataOutward supplies summarised by B2B, B2C, exports, credit notes and HSN, in a format your accountant or filing tool accepts☐
GSTR-3B summaryTax liability and eligible credit figures for the period☐
Purchase registerCaptures supplier GSTIN, invoice number and tax per purchase☐
ITC reconciliationMatches your purchase records against GSTR-2B and flags mismatches☐
Inward invoice actionsFits your workflow for accepting or rejecting supplier invoices on the GST portal's Invoice Management System☐
TDS / TCSRecords tax deducted or collected at source where it applies, such as sales through e-commerce operators☐

Input tax credit is where money is quietly lost. If a supplier has not reported an invoice, you may not be able to claim the credit, so a mismatch report that runs every month is worth more than a pretty dashboard.

Checklist 4: Does it support how your business is structured?

Businesses with branches, warehouses or several registrations need software that treats each GSTIN properly. This is where many entry-level tools fall over.

  • ☐ Multiple GSTINs under one account, with separate numbering and returns data per registration.
  • ☐ Stock transfers between states treated as taxable supplies where the law requires.
  • ☐ Export invoices with or without payment of IGST, and SEZ supplies.
  • ☐ Multi-currency invoices for overseas clients, with rupee values for GST.
  • ☐ Role-based access so branch staff see their own invoices, not the whole company's.

Checklist 5: Is the data trustworthy and auditable?

Your records must stand up to scrutiny years later. Indian company law requires companies' accounting software to keep an audit trail, an edit log of every change, that cannot be disabled.

  • ☐ Edit log recording who changed what, and when, on every financial record.
  • ☐ No silent deletion of issued invoices; cancellations and credit notes instead.
  • ☐ Backups you can restore, stored securely, with a clear retention period.
  • ☐ Data export in standard formats so you are never locked in.
  • ☐ Personal data handling in line with the Digital Personal Data Protection Act 2023 for customer details stored on invoices.

Checklist 6: Does it connect to the rest of your stack?

GST data should flow from the place a sale happens to your books without retyping. Every manual hop is a chance for a wrong code or amount.

Should you buy GST software or build it into a custom system?

Buy if your invoicing is standard; build GST features into custom software when invoicing is part of a larger workflow you already need built. Even then, connect to a GSP for e-invoicing rather than building that integration from scratch.

OptionTypical cost (estimate)Best for
Off-the-shelf billing or accounting toolAnnual subscriptionMost small businesses with standard invoicing
GST invoicing module inside a custom internal tool₹1.5–5 lakhService firms whose invoices depend on jobs, milestones or bookings
GST-compliant billing inside a SaaS product or platformPart of a ₹4–12 lakh MVP or larger buildStartups selling to Indian businesses

These are typical ranges that vary with scope, plus maintenance of roughly 15–25% of build cost per year, which matters here because GST rules keep changing. Frequently asked questions

Is GST-ready software mandatory in India?

There is no rule forcing you to use a particular product, but your invoices, records and returns must meet GST requirements. If e-invoicing applies to your turnover, you need a system that can register invoices with the IRP, which in practice means software or an approved API service.

Can small businesses below the e-invoicing threshold ignore it?

You can issue regular tax invoices for now, but it is wise to choose software that supports e-invoicing. Thresholds have come down before, and switching systems mid-year is painful.

Does Tally handle all GST requirements?

Tally supports GST invoicing, returns data and e-invoicing for many businesses. The common issues arise when sales happen in another system, such as a website or CRM, and data has to be moved into Tally by hand. An integration usually solves that.

What is a GSP and do I need one?

A GST Suvidha Provider is an approved intermediary that lets software connect to GST systems for tasks such as e-invoicing and return data. If you are building custom software, using a GSP is usually faster and safer than building those connections yourself.

How often should GST software be updated?

Whenever rules, formats or portal requirements change, which happens several times a year. Ask vendors how quickly past changes were released, and for custom builds, include GST updates in the maintenance agreement.
