Quick answer: Buy a packaged sales force automation (SFA) app if your reps follow standard beats, take standard orders and you can live with its reports. Build a custom field app when your schemes, product configurations or distributor systems are unusual enough that reps or office staff would otherwise enter data twice. Either way, insist on offline order booking, tracking only during working hours and automatic sync with Tally or your ERP.

A field rep's day often starts at a distributor's godown and ends after a dozen retailer visits, with a bag of cheques and an order book that someone at head office must type up by evening. The app that replaces that order book can be bought off the shelf or built around how your company sells. Feature lists matter less than one question: how unusual is your sales process?

What should a field sales app do every day?

It should follow the rep's day, from punch-in to day-end report, and save them time at every step.

MomentWhat the rep doesWhat the app records
Start of dayPunches inTime and location, optionally a selfie
PlanningOpens today's beatOutlets to visit, dues and last orders for each
At each outletChecks inLocation matched to the outlet, visit time
Taking ordersBooks the orderProducts, quantities, schemes and discounts applied
MerchandisingPhotographs shelves or displaysPhotos linked to the visit
CollectionsRecords cash, cheque or UPIReceipt sent to the retailer, amount against their dues
End of daySubmits the day-end reportVisits, orders, collections, expenses and distance

Managers then see coverage, productive calls, order value and collections by rep, beat and territory, without chasing anyone on the phone at 8pm.

How do packaged SFA apps compare for small and mid-size teams?

Packaged apps win on speed and upfront cost; custom wins on fit and long-term control.

For scale, GRWW's published ranges for custom software in India are ₹1.5–5 lakh for a simple tool and ₹4–12 lakh for an MVP-level product; our app cost guide puts simple-to-mid cross-platform apps at ₹4–15 lakh. The wider reasoning is in our guide to build vs buy.

When does a custom field app make sense?

When the packaged app forces your team to work around it. The common signs:

  • [ ] Schemes the SFA cannot express: slab discounts, distributor-specific price lists, free-goods combinations, seasonal targets
  • [ ] Products that need configuring, such as paint shades, tile batches, machinery spares or made-to-order items
  • [ ] A distributor management system or ERP that must remain the source of truth, with two-way sync
  • [ ] Several field roles (sales, merchandisers, service engineers) who should share one app and one customer record
  • [ ] Per-user fees that, over three years, would exceed the cost of building and maintaining your own app
  • [ ] A need to own and analyse the data on your terms

A middle path works well for many teams: start with a packaged app, learn what your reps really need, export the data, then build when the gaps are clear. Field apps also share a lot with delivery software, such as routes, proof of visit and offline sync, so our guide to delivery and logistics app features is useful background.

How do you track location without draining batteries or trust?

Track only during working hours, collect location at meaningful moments and tell staff exactly what you collect and why.

  • Working hours only. Tracking starts at punch-in and stops at punch-out. Nothing outside duty hours.
  • Events, not a constant stream. Capture location at check-ins, orders and at sensible intervals while moving, using the phone's balanced power settings. Continuous high-accuracy GPS is what drains batteries.
  • Visible tracking. On Android, ongoing location work runs as a foreground service with a persistent notification, so reps always know when tracking is on.
  • Show reps their own data. A rep who can see their route and visits trusts the system more, and can use it to back up expense claims.
  • A written policy. Explain what is collected, for what purpose (visit verification, travel reimbursement, route planning), who sees it and how long it is kept.

On the legal side, the DPDP Act lists employment purposes among the legitimate uses of personal data, so you may not need separate consent for work-hours tracking. Other duties still apply: use the data only for that purpose, protect it and delete it when it is no longer needed. Our DPDP compliance checklist covers retention and security in detail. This is general information, not legal advice.

What do Android and Play Store rules mean for background location?

Background location is a separate, sensitive permission, and Google Play scrutinises every app that asks for it.

  • From Android 10, location access while the app is not in use needs its own permission. From Android 11, users must grant "allow all the time" from a settings screen rather than a simple pop-up.
  • Google Play requires a declaration in Play Console for background location, explaining the feature that needs it, with a short video showing it, plus a prominent disclosure inside the app before the permission request. Vague justifications are a common reason for rejection.
  • There is often a simpler route. Location gathered by a foreground service that the rep starts while using the app, such as at punch-in, is treated as foreground access. Many field apps can avoid the background permission entirely this way.
  • On iPhone, "always" location access triggers similar scrutiny from Apple, and iOS shows users when apps use their location.

Design for the lightest permission that does the job, and both stores and reps will push back less.

How should orders and collections sync with Tally or your ERP?

Automatically, through your own server, so no one re-keys an order. A reliable flow:

  1. The rep books an order offline; the app queues it.
  2. When online, the app sends it to your server, which validates prices, schemes and credit limits.
  3. The server posts it to Tally through Tally's XML interface or a connector, or to your ERP through its API, as a sales order or voucher.
  4. Receipts for collections post the same way, against the right retailer ledger.
  5. Overnight, the server pulls back ledgers, outstanding balances and stock, so reps see current dues before each visit.

Map ledger names, stock items and GST details carefully at the start; most sync failures come from mismatched names. Keep an error queue someone checks daily. Our guide to Tally integration covers the options in more depth.

How do you get reps to actually use it?

Make the app the easiest way to do the job, not just a way to be watched.

  • Prefill reorders from the outlet's last order and apply schemes automatically
  • Show each outlet's outstanding balance before the visit, so collections improve
  • Display progress against targets and incentives earned, updated daily
  • Work fully offline, so a weak signal never becomes an excuse to return to paper
  • Offer the app in the languages your reps use
  • Train on a real beat with a respected senior rep as champion
  • Set a date after which paper orders are no longer accepted

Rollouts fail when the app only adds work for reps and only benefits managers. Our guide to getting your team to adopt new software has more on running the change.

Frequently asked questions

What is the best salesman tracking app in India?

There is no single best; it depends on your beats, schemes, team size and systems. Shortlist two or three packaged SFA products, run a two-week pilot with a few reps on real beats, and test offline ordering and Tally or ERP sync. If none fits without workarounds, a custom app is worth pricing.

Generally yes for genuine employment purposes during working hours, since the DPDP Act treats employment as a legitimate use. Keep tracking proportionate, protect the data, delete it when no longer needed and explain the policy to staff. Check employment contracts and take legal advice for your situation.

Does a field sales app work without internet?

Good ones do. Reps should be able to view their beat, book orders, record collections and take photos offline, with everything syncing automatically when the signal returns. Test this in a pilot before you commit to any product.

Can the app sync orders with Tally?

Yes. Orders and receipts can be posted to Tally automatically through its XML interface or a connector, with ledgers, stock and outstanding balances pulled back for reps. Careful mapping of ledger and item names at setup prevents most errors.

How much battery does GPS tracking use?

It depends on how often and how precisely location is collected. Continuous high-accuracy tracking drains batteries noticeably, while event-based capture at check-ins and periodic updates uses far less. Test on your reps' actual phones over a full working day before rolling out.
