AI Chatbot vs Live Chat vs WhatsApp Bot: Which Is Best for Lead Capture?

AI chatbot, live chat or WhatsApp bot for lead capture? Compare cost, lead quality, availability and fit by market, with real ad data from GRWW campaigns.

For lead capture, a WhatsApp bot usually wins where customers already live on WhatsApp (much of India, the Middle East and parts of Europe), live chat wins for complex, high-value sales during business hours, and an AI website chatbot wins for round-the-clock first replies at volume. Most growing businesses combine two, with a fast human handover.

The right answer depends less on the technology and more on where your customers start the conversation and how much each lead is worth. Here's how to choose.

What is the actual difference between the three?

Live chat is a person typing; an AI chatbot is software replying on your website; a WhatsApp bot is automation on the customer's own messaging app. The channel changes who controls the conversation afterwards.

  • Live chat: a chat widget on your site staffed by your team. Fast and human, but only when someone is online.
  • AI chatbot: a website widget powered by a language model, ideally answering from your own content and collecting contact details. Available all the time; quality depends on setup.
  • WhatsApp bot: automated replies through the WhatsApp Business Platform. The conversation sits in the customer's WhatsApp, so they can come back to it days later and you can follow up within WhatsApp's rules.

That last point matters more than it looks. A website chat ends when the visitor closes the tab; a WhatsApp thread stays in their pocket.

How do they compare for lead capture?

WhatsApp bots tend to produce the most conversations, live chat the best-qualified ones, and AI chatbots the widest coverage. Here's the side-by-side view:

What does GRWW's ad data say about messaging-based lead capture?

In the Meta ad accounts we manage, click-to-message campaigns (ads that open a WhatsApp or Instagram chat) were usually the cheapest way to generate an enquiry. Lead forms produced more leads to qualify; messaging produced cheaper conversations.

Some examples from anonymised, lifetime account data (Meta's default attribution):

  • A clothing brand generated 2,564 enquiries at an average of ₹5.43 per conversation, with its best ad producing 640 conversations at ₹3.35.
  • An immigration and study-abroad consultancy ran a messages ad that brought 340 conversations at about $0.11 each, alongside a lead form that delivered 245 leads at $0.34.
  • A home-improvement business selling awnings got 153 conversations at ₹2.72 each.
  • A wedding and pre-wedding photography studio ran messaging ads at ₹32.40 and ₹27.23 per conversation.

Cheap conversations only turn into revenue if someone replies quickly and asks the right questions. That's the real case for a WhatsApp bot: not replacing your team, but making sure nobody waits hours for a first response. We cover the ad side in detail in click-to-WhatsApp ads at the lowest cost, and the trade-off between forms and chats in Meta lead form ads vs messaging ads.

One honest caveat: not every account worked. An interiors business we ran ads for got just two conversations at ₹423 each. Channel choice can't rescue an offer or audience that doesn't fit.

Which option suits which business?

Match the tool to how your customers start conversations and how much a lead is worth. These decision rules hold up across most of the businesses we work with:

  • Choose a WhatsApp bot if your customers routinely message businesses on WhatsApp, you run or plan to run click-to-WhatsApp ads, or your sales cycle involves sharing photos, documents or price lists. Wedding photographers, clothing brands, education consultancies and home services in India are typical fits.
  • Choose live chat if each lead is worth a lot, questions are complex, and you can staff the chat during the hours your buyers browse. B2B software, high-end renovations and specialist professional services fit here.
  • Choose an AI website chatbot if most of your traffic arrives from search, outside business hours or across time zones, and your answers can come from written content. Agencies serving the US and Australia from elsewhere, e-commerce stores and SaaS products are typical fits.
  • Combine them if you're getting enough volume that missed or slow replies are costing you. A common setup is an AI first response on the website or WhatsApp that qualifies the lead, then hands over to a human with a summary.

What about Australia, the US and Europe?

Outside WhatsApp-first markets, web forms, phone calls, email and SMS still carry a large share of enquiries, so an AI website chatbot or live chat often fits better than a WhatsApp bot. That said, WhatsApp usage varies widely by country and customer group, so check your own data.

The simplest test: look at how your last 50 enquiries arrived. If almost none came through WhatsApp, a WhatsApp bot is a solution looking for a problem. If many did, and replies were slow, it's probably your best next investment.

How much does each option cost?

Live chat is cheapest to set up and most expensive to run; bots are the reverse. Typical ranges for custom builds (estimates that vary by scope):

SetupGlobal (USD)India (₹)Ongoing costs
Live chat tool, staffed by your teamSubscription onlySubscription onlyStaff time for every chat
FAQ / rules bot (website or WhatsApp)$3k–10k₹50k–2 lakhHosting, maintenance, Meta charges on WhatsApp
AI chatbot answering from your documents$10k–40k₹2–8 lakhModel usage, hosting, maintenance

Maintenance typically runs 15–25% of the build cost per year. For a fuller breakdown, see how much a custom AI chatbot costs.

What makes any of them actually capture good leads?

The setup matters more than the channel. A badly configured WhatsApp bot loses leads as surely as an unstaffed live chat.

  • Reply in seconds with something useful, not "Thanks, we'll get back to you."
  • Ask two or three qualifying questions, such as date, location and budget range, then stop. Long interrogations kill conversations.
  • Show a human escape hatch. "Want to talk to a person?" should always work.
  • Send leads straight into your CRM with the conversation attached, so nobody retypes details.
  • Track outcomes, not chats. Measure booked calls and sales per channel, not message counts. Our guide to AI automation for small and mid-size businesses explains how to set these metrics up.

Frequently asked questions

Is a WhatsApp bot better than a website chatbot?

It's better when your customers prefer WhatsApp and you run ads that open WhatsApp chats, because the conversation stays in their app and you get their phone number automatically. A website chatbot is better when most visitors come from search and don't expect to message you on WhatsApp.

Can one AI handle both website chat and WhatsApp?

Yes. A well-built system uses the same knowledge base and rules across channels, with a separate connection for each. Leads from both should land in one CRM so your team sees a single history per customer.

Does live chat still make sense in 2026?

Yes, for high-value or complex sales where a person's judgement wins the deal. Many businesses now use AI to answer the simple questions and route serious buyers to a live agent with context.

Will customers be annoyed by talking to a bot?

They're annoyed by bots that don't understand them or won't let them reach a person. Be upfront that it's automated, keep answers short and accurate, and hand over quickly when the question is beyond the bot.

What should a lead-capture bot ask?

Only what you need to qualify and route the lead: usually the service needed, timing, location and a rough budget. Anything more can wait for the human conversation.
